What this website collects, why, who can see it, and how long it is kept.
Effective October 27, 2026
This website is run by the Pointe East Homeowners’ Association, Inc., the homeowners’ association for the 17 lots of Pointe East in Tallahassee, Florida. The board of directors is responsible for it.
Questions about this page or your information can go through the contact form, by email to board@pointeeasthoa.com, or by mail to P.O. Box 15702, Tallahassee, FL 32317.
There is no self-registration. The board creates an account for each owner from the association’s records: name, email address (if we have one), mailing address, phone number, and which lot or lots you own, including through a trust or company. The account also records your role (owner, board member or officer), when you last signed in, and the choices you make on My Profile.
There are no passwords. You sign in either with a passkey or with a link we email you.
We use only the cookies the site needs to work:
Some pages remember display choices, such as list or grid view, in your own browser. That stays on your device and is never sent to us.
The contact form asks for your name, email address, a subject and a message. We save each message so the board can read it, and email a copy to the association’s mailbox so it is not missed.
The Report a problem form asks what happened, the page, and optionally a screenshot. If you are signed in it includes your account email; if not, an email address only if you give one. It also includes your browser and screen size. Reports go to the website administrator’s mailbox on this website.
Owners we have no email address for can ask for access. That form asks for your lot number, your name, an email address or phone number, and an optional note. We also record your internet (IP) address with the request, to help stop abuse. The board uses the request to confirm you own the lot before adding your email to your existing owner record.
The contact form, Report a problem form (when you are not signed in), request-access form and sign-in link form use Cloudflare Turnstile to tell people from automated spam. Turnstile runs a check in your browser and Cloudflare sees technical information about your browser and connection to do it. We also count recent requests from each IP address for a short time to limit abuse.
The member directory, which only signed-in owners can see, lists every active owner’s name and lot number. Your email address, phone number and mailing address are hidden from other owners unless you choose to show them on My Profile. All three start switched off.
If you qualify for address confidentiality under Florida Statute §119.071(4)(d) (for example, law enforcement officers and judges), you can turn that on as well. Your address is then hidden from other owners whatever your other choices; the board still has it, because the association must mail required notices to it.
Meeting and announcement emails are switched off until you turn them on. Florida’s electronic-transactions law (§668.50) requires us to keep a record of that consent, so every time you change one of these choices we log what changed, when, and the IP address it came from.
When a signed-in owner opens a members-only or board document, we record who, which file, and when. Downloads of public documents are not tied to anyone. We also record changes to documents and some account events, such as adding or removing a passkey.
Email sent to the association’s role addresses, such as board@pointeeasthoa.com, is received through Cloudflare and stored in the website’s private shared inbox, where the people who hold that role can read and answer it. Each of them is also sent an email notice of new messages, which by default includes the message text; each person can change that on My Profile.
Signed-in owners can report a possible covenant violation. The report records the lot, what was observed, and who filed it. The board sees who filed every report. Reports are association records, and we cannot promise that a reporter’s identity will never become known to the owner concerned.
Applications to the Architectural Committee record the lot, the applicant, a description of the work, any plans or files you attach, and the committee’s review and decision. Attached plans are kept in the board’s private records, which the committee’s members can also open.
We keep what each lot owes and what has been paid, including any liens and fines. You can see the records for your own lots under My Assessments. This website does not take card or bank payments; the board records payments made by other means.
We do not sell or rent your information, and we do not use it for advertising.
Much of what the association keeps is an official record under Florida Statute §720.303. Owners have a right to inspect and copy official records on written request.
Some information is protected from that inspection by §720.303(5), including Social Security, driver’s license and credit card numbers, email addresses, phone numbers, emergency contacts and other personal identifying information, as well as medical records and privileged legal records. An owner’s name, lot, mailing address and property address are not protected in this way.
We use a small number of outside services to run the site:
The site has no advertising and no analytics or tracking scripts.
